Career Opportunities: Audit Services Coordinator

POSITION SUMMARY:

This position provides administrative support to the Audit Director, two Managers and 12 client serving professionals for our Audit Department. The Administrative Assistant must demonstrate excellent communication skills through frequent interaction with internal/external personnel at all levels, and must have advanced word processing, editing and PowerPoint skills. Individual is extremely professional, organized, thorough and detail oriented. This position is full-time, 40 hours a week, with overtime requirements during busy periods throughout the year.


RESPONSIBILITIES:

In addition to providing comprehensive administrative and secretarial support, the responsibilities of the position will include but are not limited to:

  • Word processing and editing financial statements and proposals.
  • Copying, collating and binding financial statements and documents for client delivery.
  • Developing and editing PowerPoint and similar presentation materials.
  • Drafting and producing grammatically correct, accurate, and complete final documents to include engagement letters, reports, audit preparation packages, memos, letters and e-mails.
  • Calendar management, coordinating meetings and travel plans.
  • Distributing mail and other correspondence, answering and routing all business related calls in a professional manner and/or responding to general questions or requests for information.
  • Handling sensitive and confidential business matters, and assisting with special projects.
  • Provide personal administrative support to Audit Director.
  • Update Audit Department work schedule and vacation schedule as needed.
  • Register/Schedule CPE for Audit Department staff. Fill out related paperwork.
  • Set up web conferences for all departments.
  • Establishing and maintaining a rapport with external clients. Greet and usher clients to appropriate meeting rooms.
  • Maintain filing system. Set up new client files as needed, and maintain paper and electronic storage of Audit Department files (Iron Mountain).
  • Set up monthly Audit Department meeting.
  • Attend professional development and training sessions/meetings on a regular basis.
  • Working with other administrative support personnel to provide teaming approach for coverage.
  • Performing general office duties and a full range of clerical functions as needed.
  • Maintain an organized clean working area for the managing Partner and Managers.
  • Completing other projects and tasks, as assigned.

KNOWLEDGE & SKILLS:

Excellent word processing and editing skills a must! Must possess the ability to anticipate, manage pro-actively, take the initiative, manage time, work independently, exercise good judgment, prioritize and attend to multiple assignments with precision when meeting tight deadlines, exercise sound judgment in absence of specific instructions, display a high degree of professionalism in interactions with all levels of external clients, communicate effectively, and use technology to service clients in the most exacting/efficient manner.

ATTRIBUTES:

Must be highly organized with the ability to prioritize responsibilities in a busy environment. Must be dedicated, conscientious, proactive, patient, energetic, flexible, resourceful, determined, and extremely detail oriented. Must work well under pressure and with strong personalities. Must be comfortable working with numbers.


QUALIFICATIONS AND REQUIREMENTS:

  • 3-5 years of experience supporting a team of professionals in financial based client-serving company.
  • College degree preferred but not required.
  • Possess the above knowledge, skills and attributes.
  • Must have advance computer skills and advanced knowledge of Microsoft Word, Excel, PowerPoint, Access and Outlook.
  • Comfortable navigating the Internet for research.
  • Must have at least 3 years of related experience preferably in a public accounting environment.
  • Must have thorough knowledge of administrative practices and procedures.
  • Must be able to handle confidential information.
  • Ability to coordinate own activities with others in order to achieve individual, team and organization goals. Positive, team-oriented approach required.
  • Must be motivated to learn new skills and apply new solutions, and to make existing solutions more effective and efficient.
  • Proficient with numerical information as well as analysis.
  • Strong attention to detail and deadlines.
  • Excellent command of the English language.
  • Strong organizational skill set.
  • Ability to work additional hours, as needed, during busy periods of time.
